Download CSV or Excel Data

This page is for users who want to export data using the  Download data to file button.

Overview

There are several toolbars where you can use the  Download data to file button to export data as a Microsoft Excel or CSV (Comma Separated Variable) file.

  • From stream views
PhixFlow displays data from a stream in a stream view. Stream views can be a table (grid) or a chart and they have a toolbar in the top right. Stream views are often included in dashboards or in application screens; see Stream View.
  • From a database table
Either from an analysis model or from the repository, open the properties tab for a datasource. To open a list of the available database tables, in the toolbar, click   Show Tables; see Datasource and Database Table.
  • From the list of users
From the repository, right-click on  Users, then select Show Detailed List
  • From the system console
To open the console, in the task bar at the bottom of the PhixFlow window, click  Console; see System Console. You can export data from the:
    • Task Logs tab →Messages section
    • Imported/Exported Files tab
    • Email Messages tab
    • Archive Log tab.

To export data to a file, click the toolbar button  Download data to file.

PhixFlow opens a window where you can select the data that you want to export and the file format you require, Microsoft Excel or a CSV (comma separated) file.

Download Data Options Window

FieldDescription
Items to Download

Select an option:

  • Export Selected Items
This option is available if you have selected data records from the grid. PhixFlow automatically limits the download to 500 records. If you select more records than this limit, the extra records will be ignored.
  • Export All Items
    This option exports:
    • either all the data
    • or, if you have applied a filter, all  all items selected by the filter.

Be aware of how many records will be downloaded if you choose to export all (or all filtered) items. In some cases streams or database tables contain millions of records. Downloading many records can take a long time. Please be sure that you want to do this before proceeding.

Maximum Records Per File

If Items to Download is Export All Items, and there are many records, optionally specify the number of records to export to a file. PhixFlow splits the records into several files and zips them together ready for downloading.

PhixFlow uses the system maximum to determine the number of records to save to each file if you:

  • leave this value blank
  • enter a number that is greater than the system maximum.

The system maximum is set in System Configuration → System Tuning section → Maximum Records Per Download File.

Maximum Download Limit

This field is available if there is a limit to the number of records you may export. It is read-only.

PhixFlow displays the maximum number of records that you can download. If you select more records than the limit, the extra records will be ignored.

The limit is set for all sources of data in System Configuration → System Tuning → Default Download File Limit

You can override this limit, either to reduce or increase it, for specific streams. Use the properties in the Stream properties → Download Limits section.

Use Excel Template

The field is available for stream data, where the backing stream view has a template configured.

Specify whether PhixFlow should use the Excel template associated with the stream view. If selected, PhixFlow formats the data using the predefined layout in the Excel spreadsheet.

For information about setting up and Excel template, see Stream View.

Click to export the data to a CSV file. This is the best option for large amounts of data.

Click to export the data to a Microsoft Excel file.

Logging

PhixFlow logs the username along with the time the export started and the number of data records or stream items being exported.
