The Startup User

For newly installed PhixFlow instances a special user called “Startup” with password Startup is created specifically for the creation of the first users. After setting up initial users (and of course at least one user with the “Administer Users, User Groups and Roles” privilege) the startup user must be blocked from logging in by unchecking its ‘Login Allowed’ flag on the user details form or by deleting the user from the system entirely.

Should you accidentally disable or delete all users with the ability to administer other users, please contact your PhixFlow support team.

Creating Users

Users are added through the “User list” which shows all users configured in PhixFlow. To add a new user please carry out the following (note that you must have the privilege “Administer Users, User Groups and Roles”):

Open the User List

Open the user list by expanding the section 

When PhixFlow is first installed a user will be created that allows an administrator to login.

The recommended minimum basic install will create a new user called admin. The password will be autogenerated and written to the ../tomcat/security.log file. It is strongly recommended that this password is changed immediately after installation.

You can view and manage user accounts:

  • either in the Full Repository →

  • or in the user list. This list summarizes the information for all users, including the date and time of the last action performed by each user.
    To open the user list, in the repository, right-click

Users are classed as local, mixed or external depending on their authentication and authorisation configuration; see User.

  • The user list groups users by these types.
  • In the repository, users are grouped by the domain from which they authenticate or local, for users whose authentication is managed by PhixFlow.

  • You can change users from local to mixed and mixed to local by dragging the user

  • to a different domain in the repository.

Associating Multiple Users to a User Group

If you are creating multiple new users who require the same user group then these users can be added in bulk to the user group

by the following method:Create

  1. In the repository, create each user individually. 
Open the User Group
  1. In the repository, open the user group to which you want to associate the users.
In
  1. Open the user list
, highlight
  1. . Select all the users you want to add from the user group. Use Shift+click or Ctrl+click to select multiple users.
  2. Drag the selected list into the Group Members tab of the user group.
Please note, in this method you are dragging and dropping Users onto the User Group window rather than User Groups onto the User window. The overall effect is the same in PhixFlow, this method is just described as it may be easier when creating a large number of users all associated to the same User Group

Adding users to the user group properties tab has the same effect as adding user groups to the user properties.

Deleting Users

Note that Users

User accounts are referenced in several places within PhixFlow

e.g. they

. For example a user may be the recipient of emails sent by file exporters or task plans. If a user account is deleted, all references to that user will be removed.

Note however that log

Log messages and audit trails will still maintain a record of the actions performed by a deleted user.

To delete a single user

open the User list by clicking on the Users button  on the left hand side of the main PhixFlow menu. Select one or more users and press the red cross  on the top of the list. A warning will appear advising

  1. In the repository, expand the

To delete multiple users from the user list:

  1. Open the user list. Select all the user accounts you want to delete.
  2. At the top of the list, click

PhixFlow warns you that you are about to delete

the user:Press “Cancel”

one or more users.

  • Click Cancel to quit without deleting the

If you accidentally delete a user, please contact support@phixflow.com.

Deleted User List

Deleted users do not appear in the repository or on the user list. You can see a list of all the deleted users. Right-click
