Open the dashboard User Course: Fix Addresses/Postcodes. In this exercise you will download the data in the data grid to a file, using a number of different formats.

Exporting chart data to CSV

Press the button Show additional buttons . Find and press the button Download data to file - . Press Download to CSV . All the data shown in the grid will be downloaded to a csv format file.

Exporting data to Excel

Right-click on any data line in the data grid. Select Download data to file. This brings up the same file download form as pressing the button Download data to file - .
Press Download to Excel - . All the data selected / highlighted in the grid will be downloaded to an Excel spreadsheet.
This data grid has also been associated with an Excel template. You will now use this template when you download the data to a spreadsheet:

• Press the button Download data to file
• In the file download form select the option Use Excel Template
• Set Items to Download to Export All Items
• Press Download to Excel

The downloaded file will formatted using the template.

Exporting data to HTML

Press Download data to file.
Press Show an HTML view of the data - . All the data selected in the grid will be downloaded to an HTML document.
As with the Excel download this data can be downloaded using the associated template:

• Press Download data to file
• In the file download form select the option Use Excel Template
• Set Items to Download to Export All Items
• Press Show an HTML view of the data

The HTML view will formatted using the template.

Export selected lines

You can select a number of lines in a data grid and export just those. Do this now: select several lines on the grid.
Press Download data to file. Leave the option Items to Download set to Export Selected Items. Select one of the formats and download the file – you will see only the selected lines in the downloaded file.
You can download selected lines in this way in any format (csv, Excel, HTML).

Set maximum file size

You can set a maximum file size when you download data. This is often important when you want to download a large amount of data, but you will do it here to set the maximum file size to 15:

• Press Download data to file
• (If you still have a line or lines selected on the grid, in the file download form make sure you set the option Items to Download to Export All Items)
• Type 15 into the field Maximum Records Per File
• Select one of the formats and download the file – you will get a zip file
• Open the zip file and look at the contents – there will be 3 files, two containing 15 records and a third containing a single record

You can set a maximum file size in this way for downloading data in any format (csv, Excel, HTML).
