Managing User Accounts

This page is for PhixFlow administrators who want to manage user accounts. For related information, see the PhixFlow User Administration topic.

You require privileges to manage user accounts; see User Administration for the list.

The Startup User

When PhixFlow is first installed, it has a special user account to enable login. This account has:

  • name: Startup 
  • password: Startup

Use the startup user to log into your new installation and to add some user accounts. At least one account must have Administer Users, User Groups and Roles privilege. Check that your new user accounts work.

When you have accounts with appropriate privileges, you can disable the the startup user:

  • In the repository, open the startup user.
  • Untick Login Allowed

If you accidentally disable or delete all users with the ability to administer other users, please contact support@phixflow.com.

User List 

You can view and manage user accounts:

  • either in the Full Repository →   Users section
  • or in the user list. This list summarizes the information for all users, including the date and time of the last action performed by each user.
    To open the user list, in the repository, right-click  Users and select  Show a Detailed List.

Users are classed as local, mixed or external depending on their authentication and authorisation configuration; see User.

  • The user list groups users by these types.
  • In the repository, users are grouped by the domain from which they authenticate or local, for users whose authentication is managed by PhixFlow.
    You can change users from local to mixed and mixed to local by dragging the user to a different domain in the repository. 

Creating Users

To add a new user account you must have the privilege Administer Users, User Groups and Roles and Create User.

Either, in the repository, right-click  Users and select  Create New User; see the User page for details of the properties you can set for each user, and of how to add users to user groups.

Associating Multiple Users to a User Group

If you are creating multiple new users who require the same user group then these users can be added in bulk to the user group.

  1. In the repository, create each user individually. 
  2. In the repository, open the user group to which you want to associate the users.
  3. Open the user list. Select all the users you want to add from the user group. Use Shift+click or Ctrl+click to select multiple users.
  4. Drag the selected list into the Group Members tab of the user group.

Adding users to the user group properties tab has the same effect as adding user groups to the user properties.

Deleting Users

User accounts are referenced in several places within PhixFlow. For example a user may be the recipient of emails sent by file exporters or task plans. If a user account is deleted, all references to that user will be removed. Log messages and audit trails will still maintain a record of the actions performed by a deleted user.

To delete a single user from the repository:

  1. In the repository, expand the  Users section.
  2. Right-click a user account.
  3. Select  Delete.

To delete multiple users from the user list:

  1. Open the user list. Select all the user accounts you want to delete.
  2. At the top of the list, click  Delete.

PhixFlow warns you that you are about to delete one or more users.

  • Click Cancel to quit without deleting the selected users.
  • Click  Delete to remove the selected users.

Deleted User List

Deleted users do not appear in the repository or on the user list. You can see a list of all the deleted users. Right-click  Users and select Show deleted users.

Importing Users to Another Instance

PhixFlow treats user roles and privileges as instance-specific. For this reason, exports from a PhixFlow instance do not include the references between user groups and users. When you import to another instance:

  • existing local and mixed user accounts retain their user groups, roles and privileges unchanged
  • any new local or mixed user accounts that are added do not have user groups, roles or privileges set by the import process. You must set appropriate user groups, and therefore roles and privileges.
